Club Contract 2024/25

1. Age Eligibility:

To enrol in karate classes, students must be at least four years old. This age requirement is in line with the terms and conditions of the club's insurance policy.

2. Behaviour and Safety:

Instructors will follow best practices to ensure the safety and well-being of all participants. Students are expected to behave respectfully towards their peers and instructors. Aggressive, violent, or uncontrolled behaviour is strictly prohibited and may result in disciplinary action, including suspension or expulsion from the club.

3. Class Schedule, Fees, and Holidays:

Classes will not take place during the February, Easter, and Christmas half-term breaks or on bank holidays. Monthly fees are fixed and do not vary based on the number of sessions in a given month. Each month, the fees cover a minimum of eight classes, with additional sessions scheduled as necessary to meet this minimum. Please note that there will be no classes during the following holidays:

  • Christmas Holiday: 23rd December – 3rd January

  • February Half Term: 17th February – 21st February

  • Easter Break: 7th March – 18th April

  • May Bank Holidays: 5th May and 26th May

Classes will resume immediately following these breaks unless otherwise notified.

4. Supervision and Responsibility for Personal Belongings:

The club’s responsibility for minors extends only to the period when they are inside the dojo during training hours. Parents/guardians must ensure the timely pick-up and drop-off of their children. The club is not responsible for any personal belongings left in the dojo.

5. Access to Additional Training:

Members of the Eagle Institute Karate Club may be given the opportunity to participate in additional training sessions across different club sections, subject to the approval of the respective instructors.

6. Refunds and Absences:

Refunds will not be issued for brief absences. In cases of prolonged illness or injury (lasting more than three weeks), parents or guardians should discuss potential accommodations with the instructor to explore options for continued participation.

7. Grading and Examinations:

Grading exams are held bi-monthly and are optional. Students wishing to participate in an exam must pay the required grading fee and present their Budopass on the exam day. Failure to do so will result in the postponement of their exam to the next available date.

8. Equipment:

For the safety of all participants, parents/guardians must ensure that students have the appropriate protective gear as recommended by the instructor.

9. Resignation from Classes:

If a student wishes to resign from the club, a minimum of one month’s written notice must be provided to the instructor or club management. Failure to provide this notice will result in fees being charged for the following month. The notice period allows the club to make necessary adjustments and ensures smooth transitions for all involved.​

10. Payment of Fees:

All fees for the upcoming month must be paid in full by the end of the preceding month. Failure to clear payments by this deadline will result in the student being prohibited from attending classes until the outstanding balance is settled. Timely payments are essential to maintaining the student’s membership and participation in training sessions.
